1. Who we are

Digital Xpression (Pty) Ltd (registration number 2021/891315/07) is the responsible party for the personal information described in this policy. Our information officer is Sibongiseni Bhengu, contactable at info@digital-xpression.com. Our address is Unit R201A, Kramerville Corner (CRB House), Second Floor, Building 6, Cnr Kramer & Desmond Streets, Kramerville, Sandton, 2060.

2. What we collect

When you contact us or request a quotation, we collect the information you give us. This is typically your name, business name, email address, phone number and details of what you need.

When you browse this site, our hosting server automatically records technical information including your IP address, browser and device type and the pages you request.

When you become a client, we collect the information needed to provide the service and to invoice you, including your registration number, your VAT number if you have one, and your billing details. Card details are held by our payment provider, not by us.

3. Why we collect it

We use it to respond to your enquiry, prepare quotations, provide our services, invoice you and keep proper business records. We process it because it is necessary to conclude or perform a contract with you, because you have consented, because we are required to by law, or because it is necessary for our legitimate interests in running our business.

We use technical information to keep the site working and secure.

We send marketing emails only where you have consented or where you are an existing client and the message concerns similar services. You can opt out at any time using the link in every message.

4. Who we share it with

We do not sell your personal information.

We share it only with service providers who help us operate, and only to the extent they need it: our hosting and domain provider, our email provider, our payment provider and our accountants. Each is required to keep it secure and use it only on our instruction. Some of these providers, such as our email provider, may store information on servers outside South Africa. Where that happens, we use providers that are bound by laws or agreements that give a comparable level of protection.

Where we act as an operator on behalf of a client, for example with personal information submitted through a website we host for them, we process it only on that client’s instruction, and their privacy policy governs it.

We may disclose personal information where required by law, or to establish, exercise or defend a legal claim.

5. How long we keep it

We keep enquiry and quotation records for 24 months after our last contact with you. We keep client records, including invoices, for at least 5 years as required by tax law. You may ask us to delete anything we are not required to keep.

6. How we protect it

We serve this site over an encrypted connection, limit access to personal information to people who need it, use security software and monitoring, and keep off-site backups. No system is completely secure, but we take reasonable steps appropriate to the risk.

If personal information is compromised, we will notify you and the Information Regulator as required by law.

7. Your rights

You may ask what personal information we hold about you and receive a copy of it. You may ask us to correct or delete information that is inaccurate, irrelevant, excessive, out of date, incomplete, misleading or unlawfully obtained. You may object to processing on reasonable grounds, and withdraw consent where processing is based on consent.

8. Complaints

Please tell us first so we can try to resolve it. You may also complain to the Information Regulator of South Africa, whose contact details are published at inforegulator.org.za.

9. Cookies

We use only the cookies needed for the site to work. We do not currently use analytics or advertising cookies. If we start to, we will ask for your consent first and update this policy. You can block or delete cookies in your browser settings.

We may update this policy. The date at the top shows when it last changed.
